Critical dependence on manual spreadsheets: Budget monitoring was conducted in complex Excel files isolated from the ERP, creating a risk of financial data misalignment.
Institutional reporting requirements: The need to produce flawless timesheets to pass stringent audits by European authorities.
Fragmentation of HR and financial flows: The need to unify expense management, approval cycles, and analytical accounting to provide real-time visibility.
Technical obsolescence: The necessity to migrate to Odoo V18 to standardize processes and eliminate heavy custom developments.
The Idealis Solution
1. Digitalizing Budget Monitoring via Odoo Spreadsheets
The major innovation of this project lies in moving away from external Excel files in favor of the Spreadsheets tool integrated into Odoo. Idealis recreated AEIDL’s complex calculation logic directly within the ERP. Now, project budgets update automatically based on recorded services and purchases. This workflow ensures a "single version of the truth" for all managers.
2. Compliance and Reporting Automation
To secure the association’s European funding, we configured Timesheets and Analytical reports according to the Commission's exact standards. This automation transforms a once-dreaded administrative task into a simple, secure process, ensuring the reliability of financial audits.
3. Administrative Agility and Collaborative Fluidity
Idealis implemented digital approval circuits to structure internal workflows. Whether validating an expense claim or a purchase request, everything happens within Odoo. Using the Helpdesk module for HR provides a single entry point for employees, modernizing their experience while freeing up valuable time for strategic management.

Agoria
We digitaliseerden de processen door de implementatie van een gespecialiseerde oplossing gebaseerd op het Odoo ERP. Er werd aanzienlijke inspanning geleverd om de nieuwe processen in nauwe samenwerking met de interne teams te conceptualiseren.
Expansion
We hebben het Odoo ERP geconfigureerd en hun processen geïntegreerd. Daarnaast installeerden we de Smart Analytics-oplossing om de winstgevendheid van projecten per medewerker te monitoren en te analyseren.

In nauwe samenwerking met Damnet heeft ons team de Odoo-oplossing geïnstalleerd om aan al hun behoeften te voldoen. Hoewel de standaardfunctionaliteiten al een groot deel van het gevraagde bereik dekte, werden er toch enkele maatwerkontwikkelingen uitgevoerd.
Cercle du Lac
Sinds 2016 werken we samen met het CERCLE DU LAC team. Idealis heeft verschillende Odoo modules geïnstalleerd en geconfigureerd om aan hun behoeften te voldoen. Dit alles is geïntegreerd in één beheertool.
Phrenos
Phrenos was op zoek naar een geïntegreerd beheersysteem ter vervanging van het bestaande boekhoudsysteem en Excel-bestanden.
